Application
Procedure:
1. Step one: Submit the application and medical form that will be
emailed to you. Send the completed forms to
usaoffice@passageproject.org as an attachment by email or in
printed form by air mail.
2. Step two: Download
the waiver, fill out, and mail to Passage USA, along with your $500 deposit. Make $500 check
payable to "Passage" and send to:
Passage USA;
21320 E Aberdeen Place;
Centennial CO 80015 USA
The purpose of
the $500 deposit is twofold: a) It will reserve a place
for you in the program of your choice; and b) it will guarantee
that your application will be formally reviewed for acceptance.
If you are a student, you will also be scheduled for a formal interview.
After that, you will be formally notified of acceptance into the program.
If you are rejected, the $500 will be refunded in full. You may send
an application before the deposit, and it will be held pending receipt of
your $500 deposit.
3.
Step three: If you are a student, after we have received your
$500 deposit and reviewed your application, our South Asia office will
telephone you at a pre-designated time for a phone interview.
The Program Director will talk with you in detail about the program you have chosen, discuss your
qualifications, travel arrangements, logistics, options and alternatives
as appropriate, and answer any remaining questions you may have.
4. Step four: If accepted, the Passage USA
Office will notify you of acceptance in writing by email.
5. Step five: You will be sent an Acceptance Agreement that must be signed and
mailed to our USA office. We will send you an information pack to help you
prepare for your trip with advice about what to bring, travel, health
precautions, a reading list, and additional information about your trip.
6.
Step six:
The balance of your
program fee is due 90-days before the program start date.
This deadline may be extended only for reasons considered valid by Passage
upon receipt of a written request for extension.
PASSAGE
PROJECT: GENERAL TERMS AND CONDITIONS
Once your application has been received,
reviewed and you have been notified via email (or regular mail if email is
not possible) of your acceptance, the $500 deposit is non-refundable.
If you are not accepted by Passage, you will be notified with reasons
given, and your $500 deposit will be promptly refunded in full.
Students and other Passage customers who apply close to 90 days before the
beginning date of a trip should submit their entire program fee (not just
the deposit) to be
considered for acceptance.
If the program fee is not fully paid 90 days prior to the beginning of your trip, we cannot guarantee the
reservation of a place for you in the program, unless you have made
special arrangements with us and receive a new payment deadline from us in
writing - see step 7 above.
We may accept applications submitted less
than 90 days prior to the start date for a program. If you wish to
apply less than 90 days prior to the start date of a program, please
submit a special request in writing with your reasons for the shorter
timeline.
If we receive your notice of cancellation (in writing) 90 days or more
prior to the start date of your trip and your spot cannot be filled,
your tuition will be refunded less a $1,000 cancellation fee and the
deposit (a total of $1,500). If your spot can be filled, your tuition will
be refunded less the deposit (a total of $500).
If we receive your notice of cancellation less than 90 days and more
than 30 days prior to the start date of your course and your spot
cannot be filled, your entire tuition will not be refunded. If your spot
can be filled, your tuition will be refunded less the deposit ($500) and
an additional $500 fee for the efforts to fill your spot.
No refunds will be given for cancellations made less than 30 days prior to
the start of your
trip, after your program starts or in the event of an expulsion.
Passage reserves the right and sole discretion to expel any student that
may be engaging in activities which seriously threaten the health, safety,
or well being of anyone associated with the program. This includes, but is
not limited to, the abuse of alcohol or illegal drugs as well as other
activities deemed dangerous by Passage. No refund will be made in the
event of an expulsion.
Passage reserves the right to cancel programs that may not have sufficient
enrollment or due to other safety reasons. This decision is at the sole
discretion of our staff and a full refund of the tuition will be made. Passage is not responsible for other costs incurred in preparing for a
trip. In the event a program is canceled after being started, a partial
refund of the tuition may be given. The amount of the refund will be
determined pro rata.
Passage's programs may vary slightly from the planned schedule and the
itineraries in the brochures. These variations are made to ensure the
students' safety or to take advantage of unique cultural opportunities
that often arise unexpectedly. Our programs will always be comparable to
what was presented in the original materials.
Once a student has agreed upon a program
including any or all language classes, internships, treks, excursions,
volunteer placements, or trips to other locations, such as Tibet, and has
been formally accepted into the program and paid the full balance of the
program fee, any changes in the program requested by the student will be
made only at the sole discretion of Passage. The Director of Programs for
Passage in Kathmandu will evaluate any request for change in program that
involves dropping a class, event, trip, trek, internship, excursion, or
any other part of the program and decide whether or not Passage will
approve the change. If the change is approved, the Director of Programs in
consultation with the USA Office will decide how much extra funds will be
charged to the student for the change to go forward. Before the change is
made, the student will be required to pay the extra amount in full by cash
delivered to the Passage office in Kathmandu, or by cashier's check,
certified funds, or personal check mailed to the USA Office. Funds paid by
personal check must clear the bank before the change will be put into
effect. There will be no refund for any class, event, trip, trek,
internship, volunteer placement, or excursion that is dropped. Passage
reserves the right to protect its reputation with teachers or other
service providers it has arranged to provide any program component that
was agreed to. This will be done by paying service providers in full even
if a student decides to withdraw from that program component. Any added or
substituted class, event, trip, trek, internship, volunteer placement, or
excursion approved by Passage will be charged in full plus an added
administrative fee and any transportation or other expenses incurred by
Passage for arranging the change.
